Job Description: This position will develop working relationships with agencies, businesses and corporations to solicit services, in-kind donations, facilities, and or funding to support the Agency's projects and mission. This position will be responsible for annual, quarterly, monthly events that support projects, services or employees. The need for excellent communication skills orally and written are essential to promote events in the media on a regular basis. The ability to recruit, train and supervise volunteers to ensure the success of each project is essential as staffing for projects is limited. It is a goal of the agency to provide quality services and meaningful experiences for those who seek our assistance wherever they may be. As an agent of Challenge Enterprises of North Florida, Inc. it is the responsibility of the Activities Coordinator to enhance the Agency's mission and public image.                     

Responsibilities and duties of this position include but not limited to the following:

  • Follow all Challenge Enterprises of North Florida, Inc.'s policies and procedures as set forth in the Board of Director's approved personnel Handbook.
  • Maintain and enhance all scheduled events
  • Design and implement a new ANNUAL event to benefit all the agency's programs.
  • Develop a calendar of activities to be published quarterly and distributed to executive staff and managers
  • Maintain an ongoing file of each activity on the agency's server
  • Plan and implement each event
  • Assist with applications for new funding to support or develop new activities as requested by management
  • Participate in workshops, seminars and conferences
  • Develop a partnership list of agencies, businesses, civic groups, and individuals to assist in all events or projects
  • Develop a culture for volunteerism; recruit and retain volunteers, annual volunteer appreciation event,
  • Develop a simple budget for each event for submission to immediate supervisor
  • Monitor expenditures
  • Attend and participate in the community at business meetings, association meetings and media opportunities.
  • Ability to use Social Media and maintain agency pages during working hours.
  • Other duties as assigned.

 

QUALIFICATIONS

  • Minimum requirement of a Bachelor's Degree in education, administration, business, social services or a related Human Resources field or five years of equivalent experience at a nonprofit agency.
  •  Knowledge of the community and the key players who can secure support for the agency
  • Experience working with associations on special events.
  • Knowledge of training and social activities when dealing with individuals with disabilities offered by Challenge Enterprises
  • Must have experience with Microsoft Word, Outlook, Excel and PowerPoint.
  • Demonstrate the ability to communicate with community leaders and peers in a positive and professional manner
  • Experience in planning and developing community events
  • Understands the necessity to maintain confidentiality of participant information when dealing with media and others as required by HIPAA rules.
  • Three years experience recruiting and supervising volunteers engaged in not-for-profit organizations and explaining the reason for its mission.
  • Must have a clean MVR (3 years).
  • Must be able to pass a required local and federal background check.

 

SPECIAL REQUIREMENTS

This position will be required to provide a weekly schedule of activities and provide a written report to supervisor on activities. This position does not have any OVERTIME funding. It will be the responsibility of the Activities Coordinator to monitor each week and not to exceed 40 hours in one week.

LANGUAGE SKILLS

  • Must be able to communicate well in English both verbally and in writing
  • Must be patient when communicating with individuals in the program

 

PHYSICAL DEMANDS

Physically able to climb stairs, stand, stoop, and bend for a least three hours per day.

Ability to carry materials in boxes or on a cart/hand cart up to 30 pounds.

Must be able to drive to and from locations independently.

Must be able to set up booths, tables and chairs and coordinate assistance to ensure event is ready
